Asset Manager

This manual is intended for all users of the IATA MRO SmartHub Asset Manager module, including:

  • Project Owners who set up teardown projects - defining scope, uploading documentation, and inviting participants—then manage bidding and settlement.

  • Participants (internal and external) who receive invitations to review asset categories and submit price proposals.

The Asset Manager module can be accessed by clicking Asset Manager in the main menu bar of MRO SmartHub. It is designed to centralize and simplify the purchase and teardown of aircraft or engines by coordinating both internal and external participants around customizable asset categories.

As a Project Owner, you can:

  • Create and configure teardown projects

  • Define asset categories (for example, with or without engines and APU)

  • Publish project updates and communicate with participants

  • Invite and manage participant access

  • Monitor bidding rounds and finalize selections

As a Participant, you can:

  • Receive invitations to one or more bidding phases for certain categories

  • Review detailed asset information and documentation

  • Submit, update, or withdraw price proposals during open bidding phases

Note

In Asset Manager V2, projects no longer follow a fixed five-phase flow. Owners create one or more independent bidding phases as the project progresses (phases can be extended or cancelled). Awarding is continuous and available whenever no phase is active; awarded line items drop out of future rounds. Your interactions vary by role (owner vs. participant) and company affiliation. Key Concepts & Terminology

Project A managed teardown initiative created by a Project Owner to solicit and award bids on one or more asset categories across one or more bidding phases.

Asset Category A grouping defined within a project for bidding—either a Package (single total offer, e.g., engine, APU, landing gear) or a Part List (line-item pricing via CSV; one unit per row, repeat lines for multiples).

Bid A monetary offer submitted by an invited Participant within an active bidding phase. Packages take a single total price; Part Lists take line-item prices. Bids may be updated until the phase ends.

Bidding Phase A time-boxed window created by the Owner with a chosen scope (entire project or selected categories) and an invitation list that can include internal and/or external companies. Phases can be extended or cancelled, and multiple phases are allowed.

External Participation Instead of a separate “General Bidding” phase, external companies are invited directly to any bidding phase the Owner defines.

Awarding There is no dedicated settlement phase. The Owner can award results whenever no bidding phase is active. Confirmed awards are visible to participants; awarded Part List lines are removed from future bidding.

Project Completion After required awards are confirmed and communications are sent, the Owner closes the project. The record remains available for reference per retention policy (not a separate workflow phase).
